Reminder: Change coming to to Chart of Accounts at end of fiscal year
As the end of the fiscal year approaches, Accounting Services at Western Washington University is reminding those on campus, especially financial managers and budget authorities, that changes are coming July 1.
Beginning with the next fiscal year, the 10200 fund for state funded transactions will be replaced with new fund and Fast Index codes, and the Fast Index codes beginning with “FOxxx” will be unavailable for FY17 use.
In the past couple of months, the COA project team has reached out via various written communications to targeted campus stakeholders (such as TEM, ESM, and JV upload users). Additionally, several communications were sent to individuals identified as maintaining sub-systems that contain COA data, such as for interdepartmental billing. Notifications about the upcoming changes are also being published in the Finance Footnotes, HR Today, and Western Today.
How to identify new codes: Accounting Services has a crosswalk of the Fast Index codes that are being changed and the FOAPAL elements associated with the new Fast Index. The “Fast Index/Fund 10200 Split Crosswalk” can be found on the under the Resources and Training Materials section. Contact your division or college administrative office for more information about the specific changes in your department.
A Training Program has also been developed by the COA Training Subteam which includes various resources, including online guides, printable documents, short videos, and both individual and classroom training. All resources and details will be posted on the new section of the Business & Financial Systems website. This web page will continue to evolve as new resources and information become available.
