Three new policies approved and effective as of April 7

The following policies are approved and effective as of April 7, 2025. Below are the highlights of the policies: 

  • The policy applies University faculty, staff, and student employees.
  • The definition section describes reportable losses under this policy.
  • Section #2- All employees must immediately report known or suspected loss, as defined by this policy, to Western鈥檚 Internal Audit Department.  Employees must not attempt to correct loss prior to reporting.
  • Section 3- Employees must immediately report suspected incident of cybersecurity to IT Helpdesk.
  • Supporting procedure is included in the 鈥淪ee Also鈥 section. 

 

  • Section 1 and 2- A department may establish Course, Lab, or Academic Program fees for consumable, supplies and materials field trips, replacement costs (use of equipment), and other student specific expenses for classes or programs.
  • Section 4- Proposed fees must be approved by Academic Budget and Administration before fees are collected.
  • Section 5- Approved fees are listed on the website of Strategy, Management and Budget Office.
  • Supporting procedure and form are included in the 鈥淪ee Also鈥 section.

  • Section 1- Financial managers are responsible for the proper administration of fee funds. This includes monitoring use and reconciliation of the funds.
  • Section 2- Course, Lab, and Academic Program fees can only be spent on the purposes for which they were approved.
  • Section 3- Academic Budget and Administration will review fee revenue, expenditure and fund balances to validate that the fee amounts charged to students are reasonable.
